Hanoi University of Industry (HaUI) respects your privacy. This policy explains what personal data we collect when you apply to study with us or contact the international admissions team, why we collect it, how we protect it and what rights you have. It is written to meet the Law on Personal Data Protection No. 91/2025/QH15 and Decree No. 356/2025/ND-CP, both in force from 1 January 2026.
1. Who is responsible for your data
The personal data controller and processor is Hanoi University of Industry, a public university under the Ministry of Industry and Trade of Vietnam, 298 Cau Dien Street, Tay Tuu Ward, Hanoi, Vietnam. The unit in charge of admission data is the International Admissions Office (e-mail dea_tuyensinh@haui.edu.vn, WhatsApp +84 972 892 250). The same contact handles every request about your personal data described in section 11.
2. Legal basis
- Law on Personal Data Protection No. 91/2025/QH15 (the "PDP Law"), in particular Article 3 (principles of personal data protection), Article 9 (consent of the data subject) and Article 11 (collection of personal data);
- Decree No. 356/2025/ND-CP detailing the PDP Law;
- The Law on Higher Education and the regulations of the Ministry of Education and Training on admission and on foreigners studying in Vietnam;
- The admission regulations of Hanoi University of Industry in force for each intake.
In line with Article 3 of the PDP Law we process personal data lawfully, transparently and only for the purposes stated here; we collect only the data those purposes need; we keep it accurate, secure and no longer than necessary; and we are accountable for showing that we comply.
3. The data we collect
We collect data only directly from you, through the forms on this website, by e-mail or through our official messaging channels. We do not buy data or collect it from third parties without your knowledge.
| Form | Data |
|---|---|
| Apply now (quick application) | Full name, e-mail, phone number with country code, nationality, level of study, program of interest, your message, your application code, the time and wording of your consent. |
| Full application (sent to you by link) | The above, plus date and place of birth, gender, passport number and expiry date, home address, emergency contact, education history and grades, language certificates, program choices, how you will fund your studies, and the documents you send us (passport copy, diplomas, transcripts, certificates, photo, health certificate and, where the admission rules require it, a police clearance certificate). |
| Contact us, Student stories | Name, e-mail, country, your message or story and any photo you send. |
Sensitive personal data. A health certificate and a police clearance certificate are sensitive personal data. We ask for them only at the full application stage, only when the admission rules require them, and only with your separate consent. We never ask for your religion, political views, ethnicity, biometric data or financial account numbers.
4. Why we use your data
We use your data only to evaluate and process your admission application, namely to:
- reply to you and send you information about the program and the intake you chose;
- check your eligibility and assess your application and documents;
- consider you for tuition and dormitory support;
- issue your admission letter and the documents you need to apply for a Vietnamese study visa, and prepare your enrolment if you are admitted;
- let you track the progress of your application with your code;
- keep the records that the law and the Ministry of Education and Training require of admitting universities.
We do not use your data for advertising, we do not sell it, and we do not make admission decisions by automated means alone: every decision is taken by the admissions team. If we ever want to use your data for any other purpose, we will ask for your consent again.
5. Your consent
As required by Articles 9 and 11 of the PDP Law, we collect and process your data only after you have given consent, before collection, for the purposes listed above. On every form you consent by ticking a box that is not ticked in advance. Silence, inactivity or simply using the website is not consent. Your consent is:
- voluntary: you may refuse, though without the data we cannot assess an application;
- informed: given after reading this policy;
- specific: given separately for each purpose; the full application asks for a separate consent for sensitive data;
- recorded: we keep the wording you agreed to and the date and time, so it can be verified.
Withdrawing consent. You may withdraw consent at any time by e-mail to the contact in section 1, quoting your application code. Withdrawal does not affect processing already carried out lawfully. After withdrawal we stop processing and delete your data within the time limits in section 11, except data we must keep by law. If you withdraw while your application is open, we will no longer be able to assess it.
6. Processing without consent
We process personal data without consent only in the cases the law allows (Article 19 of the PDP Law), for example: in an emergency to protect your life or health or that of others; when a law requires it; when a competent state authority requests it in accordance with the law; or to carry out a contract you have signed with HaUI (for example after you enrol). We will tell you when this happens unless the law forbids it.
7. Who receives your data
Inside HaUI, only the staff who need it for your application see your data: the International Admissions Office, the admission council, the school or faculty that runs your program, the Training Department and, once you are admitted, the International Student Office. Outside HaUI we share data only:
- with competent Vietnamese authorities, where the law requires it (for example the Ministry of Education and Training, or the immigration authorities for your visa and temporary residence);
- with a partner university, only if you apply for a student exchange or an international joint program with that partner;
- with our technical service providers that host this website and its database. They act only on HaUI's written instructions, are bound by confidentiality and may not use your data for their own purposes.
8. Transfer outside Vietnam
The website and its database are hosted by cloud service providers whose servers may be located outside Vietnam. Your data may also be sent to a partner university abroad if you apply for an exchange or joint program. Any cross-border transfer is carried out in accordance with Article 20 of the PDP Law and Decree 356/2025/ND-CP: HaUI prepares and files the cross-border transfer impact assessment with the competent authority, and requires every recipient to protect your data to at least the standard set by Vietnamese law.
9. How long we keep your data
| Data | Kept for |
|---|---|
| Quick applications and enquiries that do not lead to a full application | 24 months from submission, then deleted |
| Full applications not admitted or withdrawn | 24 months after the intake closes, then deleted |
| Applications of admitted students | Moved to your student record and kept for the period required by the regulations on student records |
| Consent records | As long as the data they cover, so that consent can be proved |
10. How we protect your data
We use encrypted connections (HTTPS) for every form; access to the admissions database is limited by account and role and protected by passwords; the public can submit forms but cannot read other applicants' data; and staff are trained and bound by confidentiality. The application tracker shows only the status of an application and only to someone who enters both the code and the e-mail used to apply. If a personal data breach occurs, HaUI will notify the specialised personal data protection authority (Department of Cybersecurity and High-tech Crime Prevention, Ministry of Public Security) within 72 hours of becoming aware of it, as required by Article 23 of the PDP Law, and will inform you without delay where the breach may harm you.
11. Your rights
Under Article 4 of the PDP Law you have the right to:
- be informed about the processing of your data;
- give or refuse consent, and to withdraw it;
- access your data and receive a copy;
- correct inaccurate data;
- delete your data or restrict its processing;
- object to processing;
- complain, denounce or start legal proceedings, and claim compensation for damage, as provided by law.
Send your request by e-mail to the contact in section 1 with your name and application code. We may ask you to confirm your identity. We will answer within the time limits of Decree 356/2025/ND-CP:
| Request | We reply within | We complete it within |
|---|---|---|
| Withdraw consent, restrict processing, object | 2 working days | 15 days |
| Access or correct your data | 10 days | 15 days |
| Delete your data | 20 days | 30 days |
Exercising your rights is free of charge. We may refuse or limit a request only where the law allows it, and we will tell you why.
12. Applicants under 18
If you are under 18, your application must also be agreed by your parent or legal guardian. For applicants aged 7 and over the law requires the consent of both the applicant and the legal representative (Article 24 of the PDP Law). We may contact your parent or guardian to confirm their consent before we assess your application.
13. Cookies and website statistics
This website uses only the storage it needs to work, such as remembering the language or keeping a form you have not sent yet. It does not use advertising cookies and does not track you across other websites.
14. Contact and complaints
For any question, request or complaint about your personal data, contact the International Admissions Office, Hanoi University of Industry, 298 Cau Dien Street, Tay Tuu Ward, Hanoi, Vietnam, e-mail dea_tuyensinh@haui.edu.vn. If you are not satisfied with our answer, you may complain to the specialised personal data protection authority of the Ministry of Public Security of Vietnam.
15. Changes to this policy
We may update this policy when the law or our admission process changes. The version and date at the top show the current version. If a change affects how we use data you have already given us, we will tell you and, where needed, ask for your consent again.
